How to Delete Obsolete Entries from your Institution’s Fedena Account

There are at times, the need to delete entries which have become obsolete or no more in use. In that case, the entry should be deleted in order to avoid more clutter. Go through this article and find out how you can do it with Fedena.

1. Login to your account and go to ‘Students’ in ‘Academics’ in the main menu. Click on ‘Students’ and you land on the page where you need to search for the particular student you want to delete.

2. Type the student’s name whom you want to delete and click on the name.

3. Click on the ‘Delete’ option as shown in the figure. Once you click on ‘Delete’, you will land on the page where you will be asked how you want to delete the entry.

4. If the student is leaving the institution, then click on the option ‘Student leaving institution’ and you will also have to store the reason for which the student is leaving the institution and ‘Save’.

5. If you want to remove the entire record of the student, then click on ‘Remove student records’.

One point should be noted that if a student who is supposed to be deleted has already been assigned exams and other things, then you first need to delete the exams and then delete the student.

You will have to follow the same method in case you want to remove any junk entry from the employee list. To reach the employees, you have to go to ‘Human Resource’ in ‘Administration’. ‘Employee Search’ option can be found in ‘Human Resource’ and the rest, you have to follow the same process as with student deletion.

If you want to view all the online transactions that have taken place during a particular period of time, then click on ‘Transactions’ in ‘Online Payment’ page. Once you click, you land on a page, a screenshot of which is given below:

How a student pays online

1. If you are a student willing to pay your fees online, login to your account and go to ‘My Profile’ and from ‘More’, you will get the option to pay fees. Click on ‘Fees’ and you get details of all the fees that are required to be paid.

2. Click on the particular fee you want to pay. Click on ‘Pay Fee’ and proceed to the payment gateway page to pay the fees.

3. Pay and you are done!

The Refund Fees Feature in Fees Management system

1. To go to ‘Fees Refund’, click on the menu bar and go to ‘Fees’ in ‘Finance’. Select ‘Fees Refund’ in ‘Fees’ and you land on a page with the different options for fees refund. A screenshot for the same is provided below:

2. When you want to create a new refund rule, click on ‘Create refund rule’. Create a refund name for the particular fee collection you want along with the percentage that you want for the refund policy and the refund validity date which is the particular date for which the refund will be available.

3. Once you create the fees refund, you can apply the refund for any student by using the option ‘Apply Refund’. Once you click on ‘Apply Refund’, you need to type the name of the student in the search box.

Click on the student’s name and select the fee collection for which the refund will be made. The student details will be coming along with the option to refund the money.

4. You can view the list of all the refunds that have been made using the ‘View refunds’ option. Click on ‘View refunds’ and search the refunds by dates with start and end date, by student name or by using fee collection name.

Make sure before any student asks for the refund of fees, that the student had already paid the entire amount of fees.

One such exciting feature is the Fine generation that will allow you to create fine for late fee payment. Check out this easy to use a feature in the article and see how it can manage your fees and fines so easily.

How does it work?

1. Go to your Fedena account and click on the menu option to go to the ‘Fees’ option in ‘Finance’. Once you are in ‘Fees’, you will find the ‘Generate Fine’ option in ‘Create Fees’.

2. Click on ‘Generate Fine’ and you will get the page where you need to fill in all necessary information to create the fine generation form.

Name the fine, the date and also the fine amount. Mention the mode of fine you want to impose- either in percentage or an exact amount. If you want to create many more fine slabs like this with different due dates, click on the option ‘Add fine slab’.

3. The next step you need to follow is to collaborate the fine generation form with fee collection for which you need to go to ‘Schedule fee collection’ in ‘Fees’. ‘Create fee collection’ in ‘Schedule fee collection’ will help you with the collaboration.

Click on ‘Create Fee Collection’ and reach the page where fill in all details for fee collection.

Select the particular fine generation that you have created and also a start and end date for the fee collection beside the due date failing which, the student will have to pay the fine.

4. When a student pays his/her fees along with fine, go to ‘Collect the fees’ in the ‘Fees’ section and then select ‘Fee submission for each student’. Search for the student and select the Fee collection date.

Here, you can see the student is paying fine for fee payment delay. Once you receive the fees, click on ‘Pay Fees’ and you can also print it using the ‘Print receipt’ option.
