The very first thing that you need to do is to login with your id to Fedena and then go to ‘Finance’. Here you can create various categories under which, you can divide the expenses of your institutions. For this, go to ‘Category’ and create your own new categories.

Once you click ‘Create Finance Category’, you get a pop-up where you need to fill up necessary information.




Since you are creating an expense category, you should not click ‘Is this under income?’. When you are done with storing in all expense categories, you can add the expenses under each category.


When you want to add expenses, go to ‘Transactions’. See the screenshot below:





Click ‘Transactions’ and it will take you to page where you have the options to take a report of a particular time to keep a track of the expenses that have been made within the time period. For this, you need to click on the ‘Report’.



You need to choose a particular time period off which you want the report.




The report will give you the details about all the expenses- both manually added and those automatically added as well. Expenses that automatically updated includes monthly salary, inventories and others. As soon as the payslip of an employee is approved by the HR, the expense is added in the report under the ‘Salary Account’. The report is presented in the following way:




You can also have a PDF Report of this for which you need click on ‘PDF Report’. For the manual entries for expenses, you need to go to ‘Add Expense’ under ‘Transactions’ to enter any expenses that is not incurred every month.

A very interesting fact of this feature of Fedena is that you can easily compare the expenses of any two months and get the results in graph as well. For this, you need to go to ‘Compare Transactions’ in ‘Transactions’ and select the months you want to compare.

Fedena is now integrated with Paypal & Authorize.net to accept fee payments online for education institutions

Here is a good news for all of you. One of the most requested feature for Fedena is now available as a plugin for your use. Fedena has a fully functional payment gateway to enable the institutions accept online payment through credit cards. Fedena is integrated with Paypal & Authorize.net and the plugin is available for purchase at Fedena Pro website.

Admin can choose between the two gateways and can set one as default gateway. The plugin currently supports Application registration fee payment and Student fee payment. Other payment like Hostel fee and Library fine pay, instant fee etc.. will be supported later.

Attendance Report

Reset Leave


The ‘Reset Leave’ option allows the employees to renew their leaves with the help of two options- either using the ‘carry forward’ option or without it. If you want the ‘carry forward’ option, you need to go to ‘Add Leave Types’ where you get the ‘Enable carry forward option’. ‘Reset Leave’ offers you 4 categories- ‘Reset All’, ‘Individual Reset’, ‘Department Reset’ and the ‘Leave Reset Settings’.  

How employees can apply for leave?

When you are an employee eager to apply for leave, you need to login with your id and go to ‘Leave’ in Dashboard. Then you need to apply for a leave with all the necessary details required for the application. Your leave is only valid only when your reporting manager approves it.


When you are using Fedena in your mobile, you can apply for leave by logging through your mobile and going to ‘Leave Application’ in Dashboard. You, then, need to fill up all details and submit it, for your manager to approve or deny.


How reporting managers can approve/deny leaves?

When an employee reporting you applies for leave, you get a notification under ‘New Leaves’ which you can either approve or deny. To do this, you need to login with your id and go to ‘Leaves’ in Dashboard and go to ‘New Leaves’ where you get the notification of any leaves applied by your reporting employee.


You can ‘approve’ or ‘deny’ your employees leave. Your decision will be delivered to your employee as a notification under ‘My Leaves’ and the leaves will be automatically updated in the ‘Attendance Register’ under the respected employee.

Managing assignments has always been a tedious task, both for the teacher who assigns it as well as for the students who are assigned. The entire process of assignment becomes all the more hectic when any student fails to attend class on the said day. Plus, students might often get confused with the details of the assignment and the teacher in most of the cases, have to go through an ordeal of repeating and re-addressing the students again and again. Login as a teacher
 

When you login as a teacher and want to issue assignments to your students, you first need to go to ‘More’ and then select ‘Assignment’ from it. Create a new assignment with the help of the ‘Create new Assignment’ option.
 
Create new assignment and put in all the necessary information required to create it, like the ‘Title’, ‘Content’, ‘Due Date’ and select the ‘Subject’ that you want to create an assignment on. It must be noted that as a teacher, you can only see the options of subjects that you teach, when you click on ‘Subject’. If you want to provide some other detail to the students for their help, you can upload a file to the assignment also.
 
When you select the ‘Subject’, you may need to select students as well. If you want only particular students to receive the assignment, you need to select the students from the boxes, or else, you can select ‘All’.
 
Login as a student
 
When you login as a student and click on ‘More’ and then go to ‘Assignment’, you will be taken directly to the ‘Assignment’ page. You click on the particular ‘Assignments’ (for example, here, its ‘Homework’), you directly go to the page where you get the details about it and an option below saying, ‘Answer this assignment’.
 
Fill in all information required and attach necessary answer sheet. You are done with your assignment once you click on ‘Submit Answer’.
 
Once the assignment is submitted by the student, the teacher receives it under the category ‘Answered’ in the particular subject assignment. On clicking it, the teacher gets an option to download and read it. Once read, the teacher can ‘Accept answer’ or ‘Reject answer’. The same information will be sent to the respective student as well.

Q: You must have for sure, faced a lot of difficulties to convince underprivileged children from poor families for take up training or further education. Can you talk a little on that?

YP: It is always a challenge to mobilize youth. They are frequently de-motivated, directionless and with aspirations that are not realistic. Since they come from difficult backgrounds, they often have problems which are further compounded by lack of good role models. This means that our staff members have to work extra hard to convince and motivate them to join the courses. All the staff members go into the community and engage with the youth and their parents to bring a change into their lives. I am grateful to Foradian, for helping us with offering their Fedena application which is internet based, where our staff would now devote less time in maintaining data manually, and can use this application anytime and wherever they are based. With this application, our limited staff can provide training to the underprivileged in the remotest areas through collaboration option, thereby reducing their travel time and allowing the underprivileged to get specialized within their areas.

 

Q:Since you are a non-profit organization, you must have faced issues with pricing and licensing when you wanted an erp software solution. How have Fedena helped you in this.

YP: As we are an NGO, we were looking for an application that would suit our needs and at the same time would be affordable to us. Thanks to Unni, who advised us that the Saas Model would be very expensive, and suggested that we go for on-premise model, without looking at maximizing his profit.  With his help and understanding, we now have the application hosted on our server which would help us in a long way, and the application would well be in our control. Unni also provided us with unlimited schools license as well as unlimited users license hence completely eliminating our growth cost impact.

Q:You offer vocational courses unlike other colleges. How difficult was it for you to look for the right erp software for your organization since most ERPs are ideal for regular courses.

YP: Our courses are short term which is for a duration of 3 months and for different trades. Thanks to Foradian who understood our need, helped in customization and designed an application that has suited our purpose. Also, we have undertaken some workarounds in our business operations to ensure a maximum usage of the system to cater to our needs. IISAR: Yeah sure! When you talk about “Improved & revolutionary education”, we mean and look forward to provide most updated and 21st century, compatible education; something that is not outdated. An updated educational set up can bring revolution in one’s life because, we trust that revolution comes from your inner self and not from outside. The revolution we are mentioning here is revolution against illiteracy, revolution against the system where poor gets poorer and rich gets richer, revolution against system based upon differences and inequality. This all is possible through an updated, most modern education that is provided to every single child so that he is able to recognize his own self, his purpose of life given by his creator & starts his journey towards accomplishment of the said purpose i.e. spread LOVE & PEACE among all human being.
Q: 3. How has been the journey so far in achieving your dream of ‘Giving eyes to the
nation through education’?

IISAR: IISAR Foundation is a single man foundation, been founded in 1990 by Prof.(Dr.) Ahmed Saleem Siddiqui who has a passion to serve his nation through education for he believes that education is the best source of Slow term revolution (explained above). Instead of giving someone money, its always better to teach them how to earn the money, how to become an active/creative member of society, to make them stable enough so that they be able to face the challenges and obstacles of life. He introduced IT for the very first time in Pakistan, with the version and our institute was equipped with the same. Since then, gradually, we have introduced IT in our Institution accordingly. The whole setup of our institute is computerized; classes are Smart Classrooms along with Audio/ Visual Aid. A large numbers of computers are the of latest versions; internet facility is available for the students so they can explore their topics, learn through different ways and emphasizing on “Conceptual Learning”. So far, we can say that we are moving towards achieving our goal gradually and slowly. We have been facing the same challenges since day one but definitely not stopping us. By the grace of God, we think the achievement at our end so far is a number of pass out students who belong to very lower middle class, very poor families, working class families. We believe, a change will be coming in society, although slowly but effectively.

IISAR: As we told you that our basic focus is IT and online education system and this motivation leads us to FEDENA. We found our IT solutions in it and we are looking forward to have our whole educational set up online through Fedena. Q: 5. Where do you see students of IISAR in future?

IISAR: We are confident about what we are educating to our students will bring inner peace to them. A peaceful mind can create a peaceful society which is lacking in humanity nowadays, but we don’t have to wait for the whole world to do it. We have to start from our own self , peace will come automatically. Custom Import Plugin: Quick way to get Library Book Details to Fedena

The Library plugin of Fedena manages your institute’s library by providing login access to students and teachers to search for available books and order them from anywhere and anytime. All they need is internet. But for this module to work in full efficiency, you need to have all the library details stored in Fedena. You can import your book list in bulk to your Fedena by using the magical custom import plugin, this article reveals the steps on how to do it.


Step 1: Open your Fedena account and go to ‘More’ and then to ‘Custom Import’. You need to create a ‘New’ import.




Step 2: Once you click on ‘New’, you get a page where you need to fill in some details. Here, we have created a new export and have selected ‘Model’ as ‘Library Book’. ‘Associated Data’ includes tags that you want your books to be associated with and in the ‘Book additional detail’ you can store information like the date of purchase, price, etc.

Step 3: Export the CSV spreadsheet where you need to store all the detail about the books in the library.



Once you are done with storing, you can upload the spreadsheet by clicking on ‘Import Data’ which allows you to upload a complete spreadsheet to Fedena.




Note:

You can have customized ‘Book additional detail’ for which you need to go to ‘Dashboard’ and then to ‘Library’. In ‘Library’, you get the option of ‘Manage Book Additional Detail’ where you can create your own additional detail options and have your own customized book additional details.

A Step-by-Step Guide on How to Use Google Forms to Create Fedena Bulk Import CSV

 
You might be knowing about the bulk import feature of Fedena which allows you to enter the data of all your students into Fedena from an excel sheet saved as csv. But how to prepare this excel sheet containing all the data of students, batches and other fields. If you are doing it manually, it will take more than one day to prepare the sheet. But if you trust your students/parents to input the data correctly, here is an easy method. You can use Google forms and create a spreadsheet which can be uploaded through Data Import. This article will give you a step-by-step description of how you can use Google forms to create Fedena bulk import CSV. We recommend you to watch the Google form introduction video before reading the following steps to understand the method better.
 

Step 1: The first step requires you to login to your gmail account and go to ‘Drive’. Then, in ‘Drive’, click on to ‘Create’ and then ‘Forms’ to create the form with different items to send it to students to fill it.

 

Step 2: You get an ‘Untitled form’ which you need to fill up with the necessary information. But first, you need to name the form and then proceed towards filling up necessary items. For example, we have named the form as ‘Admission 2013-2014’. You need to add ‘Description’, ‘Question title’, the ‘Help Text’ in case, you want to describe the ‘Question title’, the ‘Question type’ and then tick the ‘Required question’ if its an important field for students to answer. You can select from the different options available for ‘Question Type’ based on the kind of answer you want.

 

Step 3: You can add many more items by clicking the ‘Add item’ bar under different item names like ‘Names’, ‘Blood Group’, ‘Date of birth’, ‘Gender’ and so on. It must be noted that with every item, the ‘Question Type’ for each will change accordingly. For example, when you choose something like ‘Blood Group’ or ‘Gender’, the Question type won’t be a Text bar. Instead, it can be something like checkboxes.

 

Step 4: Once you are done filling up all the items you wanted, you have to send the  form to the respected students by using the ‘Send form’ option at the bottom of the page. Or else, you can copy the link of the form from the tab and email it to the students. When they fill up the form, you will receive the filled up forms as responses.

 

Step 5: To extract the responses in excel sheet, click on to ‘Choose response destination’ which gives you the option of getting all the information in one spreadsheet. All you need to do is to click on to ‘Create’. After the spreadsheet is created, you receive an option like ‘View responses’ which on selection, will give you the spreadsheet.

 

Step 6: Once you have the completed spreadsheet, you can upload it to ‘Data Imports’. For this, you need to login to Fedena and go to ‘More’ in dashboard. After, you need to go to ‘Data Imports’ and upload the spreadsheet for the respective batch which you need to create first.

How to Use the Poll Plugin of Fedena as a Feedback Tool for your Institution

 
Being the top head of any educational institution, you might sometimes feel the need for feedback about any recent initiatives. For this, there is an easy to use plugin called the Poll plugin available with Fedena which can be used for feedback. Now, lets take a look at how the poll plugin can be used for feedback.
 
If you login as an admin
If you are the admin, then you need to login using your email id and password. Look for ‘Poll’ after clicking ‘More’. You can create a new poll using the ‘New Poll’ option and a page opens up where you need to fill in all options. The page has three parts-
 
1. Questions: You have to provide the question along with some descriptions.

2. Answers: Provide the answers for the question you have posted. You can provide multiple answer options by using the option ‘+Add another’. You can also allow other answers as well by ticking the ‘Allow other answer’ option. With this, you actually allow the targeted people to give any other feedback answers if they have.

3. Members: This option lets you select the batches and departments you want to target the feedback question to. One you are done filling up the information, you need to complete it by using the option ‘Post Poll’.
Teachers and students of the departments and batches selected will get a notification about the feedback poll you have created.
 
If you login as a student
 
If you are student who has received a notification about the poll, you need to login with student id and password and look for the ‘Poll’ option from ‘More’. In case, you don’t agree with the options of answers given, you can anytime let your answer be heard by going for the option, ‘write own answer’. You will have to write your answer in the tab that comes up on clicking the option. This is the way your can vote your opinion on a certain feedback question posted by the administrator.

 

Points to remember

 
1. A poll becomes ‘Closed’ when it is over or you can also manually do it by clicking the ‘Close’ option.

2. Closed polls can only be seen by the admin or any privileged user as assigned by the admin.

3. You can also delete or edit any information you have stored. You can also delete the feedback or poll question with the ‘Delete’ option.

Use Data Management Module as an Enquiry Module: How to do?


Here is a small trick to use the data management plugin of fedena as an enquiry plugin to simplify the pre-admission process in your institution. 


It always becomes a little messy at the time of new admissions for any educational institution, especially with all that paperwork. But, can we make it simpler and smarter? Yes, we can. With the help of the Data Management Fedena plugin, we can can easily use it as an enquiry plugin. This particular feature of Fedena will sure be a great help to people in charge of presiding over admission related issues, like front-office administrators. In this article, we will deal with details about how this Fedena plugin can be used as an information storing medium.


How to use it?


After you login as an admin or as someone given the privilege to access data management plugin (only an admin can give the privilege to someone to access extra plugins like data management), you can easily enter new data by clicking the ‘New’ button. You need to fill in with details like, if you are storing information related to admission, you can name it as ‘Admission Inquiries’. Then, you can select ‘Field name’ under which you can categorize the inquiry details. Select the “Input Method’ with the option you want. There are three options for “Input Method’- ‘Text Box’ where you have to type the text; ‘Select Box’ will offer options to select and the “Check Box’  will let you select any of the options with a ‘tick mark.’ See picture below for further reference:




You can keep on adding fields if you want by clicking ‘Add field’ sign. When all the information related to various fields have been added, you need to ‘save’ it. Once you are done saving all the field heads to store in information under categories, you can easily put in new entries, for which select ‘New Entry’. The image below shows how it will come up:




Fill in all the details you need to store under each category and ‘save’ it. The saved format will give you the info in one page. It will appear like this:





You can also edit any information that you have stored or delete it with the help of the ‘Edit|Delete’ 
option.




Use the ‘New Entry’ option to enter new entry information. If you want to print the page, use the ‘Print’ option.
